Email Manager6.3.0 is a significant new release. It contains many new features, performance improves and bug fixes. The key functional changes are to align Email Manager with the European Union General Data Protection Regulation (GDPR) becoming live across Europe from May 2018. The functional changes provide a broadening of the number of preferences that can be assigned to your recipients within Email Manager. Importantly audit functionality that will track when these preferences are changed by our customer or your recipient have also been applied. The performance improvements are focused around queries on lists, events and templates. We have also changed the way we generate SEV files turning off the creation of files should a Campaigns instance be suspended for a long period of time or disabled.

Important Upgrade Considerations

For Email Manager 6.3.0 the executable has been renamed. This is to ensure secure access for customers in the future. See Client Installation section for more information.

At next use following Email Manager 6.3.0 installation please delete the existing Email Manager desktop shortcut and download the Email Manager client through your customer specific URL via https:. Your client download URL is now in the format https://clientname.e.alterian.net

If you do not remember your account specific URL the Alterian support team will be able to advise.

New Features

PREFERENCES

Many of our customers would like to hold multiple preferences against their recipients. Perhaps the preferences highlight the types of email you are sending out: newsletter, offers, transactional, etc. Perhaps they are focused on specific brands or frequency of communication. In the past the Email Manager functionality in this area was limited. The changes we have made now provide the following:

•Multiple preferences can be configured, with space available for a description on preference use, Terms and Conditions and adjustable display names.

•Preferences can be updated via List Load, Drop Folder, via the API or by recipients themselves through an updated preferences page.

•Default Preferences can be assigned to specific creatives (ensuring the wrong creatives is not sent to the wrong audience.

•List Query has been updated allowing you to create lists of recipients holding or not holding specific preferences. You can also create Smartlist for ease of query and campaigning.

•The existing opt out (Unsubscribe) functionality is maintained and does not change.

•All the changes above are supported with detailed back end auditing, so we when and know how a recipient became opted in or out to each preference and what the preference details were at the time of change.

LIST UNSUBSCRIBE

Email complaints over time have a negative impact on Email deliverability. One of the key reasons for complaints is an inability to unsubscribe, or a lack of trust that a standard unsubscribe method will be honored. List unsubscribe provides an easy to find unsubscribe mechanism built into the email client itself. This will be appreciated by recipients and limit complaints.

It is seen as a positive action by ISPs including AOL, Hotmail, Gmail, Yahoo! and many Spam filters. Including List Unsubscribe is an email best practice that all mailers should follow so we will be including a header to provide this functionality from email Manager 6.3.0 onwards. An example of how a List Unsubscribe header looks in Gmail is shown below. MD5 HASHING

At times it is useful to simply MD5 hash a variable in Email Manager. An MD5 hashing modifier can now be applied to any variable used within an Email Manager link or as part of a creative. Please see Alterian Hashing and Encoding Content V3.

 

SINGLE EVENT VIEW – REGISTRATIONS

When a Single Event View (SEV) registration is created between Email Manager and a Campaigns Solution, Email Manager will immediately start to create event files for this specific registration. Previously if a registration was removed without being disabled through Campaigns Email Manager would continue to create these files. We have added functionality that will suspend any registration that has not activity pulled a file for ten days. If a file is pulled during this period, the suspension will be lifted, and files will be created again. We will not automatically create the missing files. After a further five days of inactivity the registration will become disabled and we will automatically cleanup any previously created files for this registration.

If multiple lists are selected in an Email Manager list query and the same recipient exists in two lists, it will count the recipient twice. The output cannot have duplicates so we had scenarios where queries were providing counts higher than customers were seen when exporting the query out. This has now been resolved and the initial query will dedupe by recipient. Query total and list outputs should now match.

Performance improvements in multiple areas to address timeouts often highlighted by the "Error Connecting to Database message" error message. These changes include new indexes and for timing improvements for various requests. This is a general error message so these changes may not remove all occurrences but should reduce them significantly. Please continue to raise this alert to the Alterian support team should you continue to see it post Email Manager 6.3.0.
ASD-15219 Any FTP request using static tokens don’t need the username and password to be passed. In some cases if they still passed as null this would stop the request from being allowed.
ASD-19464 If the Sender email address variable is mapped to an email field, that email field will have preference when we process the variable mappings. So when we search for the "To Email" variable mapping we cannot find the field mapped to it. For any recipient list with 2 email fields, if any of those fields is also mapped against the "From Email" variable, all the email addresses will be blank. This has been resolved.
ASD-14505 If multiple templates are created within a creative and each has a shared variable and shared link an extraneous blank text version was being added that caused deployment errors.
Various Larger customers are getting timeouts when performing event-based operations like getting shared events or the campaign events in creative builder. Indexes have been added to resolve this.
Various When loading a new list into Email Manager the auto mapping of a field to an existing field was inconsistent. This is now improved with better matches and a focus on the field type.

Various

SMTP servers require all lines of code within an email to be below 998 characters long. Within Email Manager we look to ensure this in two areas. One area within Email Manager will attempt to encode the entire email should a long code line be found. This will take a significant amount of performance and may cause slow sending performance for large sends. We have increased this level so this encoding will not now occur in the majority of cases.
